How can I use VoIP with my existing Telephone PBX System (Panasonic)

We had an example of a typical request for VoIP functionality from a traditional telephone pbx system today and because it is an example of a common need and request we’ve written this blog post to help you understand what to do.

Use Your Existing Panasonic Hardware

This company has a Panasonic KX-TDA30AL telephone system (http://www.panasonic.com.au/products/details.cfm?objectID=2180) and are paying too much for their telephony calls and line rental so they want to go VoIP. They own their telephone system so they don’t want to go out and purchase another one if they don’t need to, but they want to find a way of using it with a new VoIP service like the one we provide here at virion. When you look at the Panasonic web page for this particular system it says “Using a VoIP gateway, the system converts telephone voice signals into IP packets”, and they say on the web page that you should speak to your Panasonic dealer about pricing for IP Gateways. This is an important piece of information because a VoIP gateway does not normally come with most telephone systems, instead, the functionality is made available with the purchase of an additional piece of hardware and the cost of this hardware can be significant ($600 to $1500) depending on the brand and model of your telephone system.

The IP Gateway for this particular telephone system (the KX-TDA3450X) costs approximately $900 (by averaging the quotes we received from 3 different dealers) and this might seem expensive but the good news is that it takes a relatively short time for a technician to configure it for the virion business voip service (30 – 60 minutes).

The next aspect of this project is to consider that when you use VoIP you are using a broadband internet connection to send and receive voice data and you have the choice of can either use your existing broadband internet service or organise to have a new broadband service setup that is dedicated to voice traffic. If you are a relatively small business with up to 6 concurrent calls you can get away with an existing broadband internet connection (provided it is business grade – no drop outs – and is setup to prioritise voice data. If you expect you will have more than 6 concurrent calls it is prudent to get a dedicated Voice ADSL connection (they call this a tail or a pipe).

The final aspect of your implementing VoIP at your business is your modem and your network. You must ensure that you have a good quality modem that prioritises voice traffic and you will need to ensure that your IT consultant is involved in the implementation to ensure that the installation goes smoothly. Call divert is called Call Forward on the Linksys SPA942 ip Phones

If you are a small business you might want to divert your incoming calls to a mobile or home number when you are temporarily away from your office or at the end of each working day. If you search the internet for answers you’ll need to know that the term that they use is Call Forward, and there are several different options available to you, including:

  • Call Forward Busy Number,
  • Call Forward No Answer, and
  • Call Forward No Answer Delay

The instructions on how to use your Linksys (Cisco) SPA942 and SPA962 phones are on page 45-47 in the User Guide for the phones. This user guide also show how to make Call Forward configuration changes using the Web Administration area. Your old Telstra number

Using your Telstra number is easy. We simply setup a call diversion immediate on your Telstra phone number to your main virion indial number. This means that everyone who calls your normal number will be answered on your new Voice over IP phones. There is a cost for the diversion for each incoming call, but this only temporary before we transfer your Telstra number to virion and you start paying half price for it.
Transferring a number to virion is called “Porting” and its a process that can take 3-4 weeks to complete, but once its complete you will no longer be paying high monthly rates through Telstra for your phone service.

Lines, extensions and subscriptions

The term ‘line’ is usually associated with a copper wire coming into your office. This line normally comes with the functionality to allow you to make voice calls and each one comes with its own “telephone number”. With a VoIP Telephone system PBX the meaning is different.

Because you are using your Broadband Internet access to “transport” your calls, the term line (also known as a channel, extension or Subscription) is now used to describe the ability to “handle” more than one concurrent conversation (at the same time). It also includes features like the ability to:

  • Put a call on hold
  • Transfer calls
  • Have music on hold and transfer
  • Allow for Direct indial to each extension (saves having to route the call through reception)
  • Separate voicemail for each extension
  • Voicemail to email

Every subscription comes with a Direct Indial Number (called a DID). You can choose whether to make these numbers known to your customers (have them call you directly, bypassing Reception), or have every call go through reception before they get to you.
